WSBA Membership Update & Time Lines

12/29/2014

The WSBA uses the USAC renewal process to capture your membership data, but we are left with the task of getting numbers out to riders in a timely and cost efficient manner.  We have approximately 1,500 numbers to process and distribute and have to be sure our data aligns with USAC so that race registrations & results correspond to your name.  This takes time.

In order to have your WSBA number available for the first road events of 2015, you must submit your membership payment via the USAC website by January 25, 2015.

For all memberships received by midnight January 25, 2015, WSBA race numbers will be delivered in the following manner.
  • A bulk shipment will be sent to each team with race numbers for members who have indicated membership on that team within their USAC accounts.
  • This bulk mailing will go out no later than February 14, 2015, to the team-designated mailing address.
  • Memberships submitted without a team affiliation will be individually mailed to the address in the USAC database no later than February 16, 2015.

Renewals received after January 25 will be processed in the order received, after all memberships received for the January 25 deadline have been processed.  Turnaround time will depend on the volume of late renewals, but race numbers for renewals received after January 25 and before February 27 will be shipped approximately mid March.  Renewals purchased after February should expect a minimum 3 week turnaround time.

Numbers returned due to incorrect addresses will be resent after we have caught up from the initial influx of memberships. Any member who has a number returned for an incorrect address more than one time will be subject to a handling fee of $5.00.  Please verify your address on file with USAC is correct!

If you aren’t renewing with USAC for 2015 or if you’ve never had a USAC membership, you can still join the WSBA.

If you’ve ever created a USAC membership account, USAC says you can renew your WSBA membership without purchasing a USAC license.  We’ve been unable to test this statement; please contact me if you cannot create a WSBA membership through your expired USAC account.

If you’ve never created a USAC membership account and don’t intend to buy a USAC license but would like to be a WSBA member and receive a fabric number (Residents of Oregon, British Columbia, etc.), we are developing a process for you to join the WSBA online.  We will soon have a page on the WSBA website where you’ll be able to order a WSBA standalone membership, and we will send a follow-up email when that option is available.

Team leaders, please email joinwsba@gmail.com and me the name and address of the individual who will receive delivery of the bulk shipment of your teams race numbers by January 20.

Please note if you purchase a membership after June 1st you should email  joinwsba@gmail.com indicating your purchase or your purchase may not be processed due to so few purchases made in this time frame.

USAC License & WSBA Membership Information

As you’ve likely seen, the 2015 USAC annual license sales have begun. There are a few nuances to this year’s purchase process we wanted to make sure WSBA members are aware of:

WSBA membership renewal: When you renew or buy your USAC annual license, there is a check box to allow you to add on your WSBA membership.  Distribution details aren’t yet final, but the sooner you renew your WSBA membership, the sooner you’ll receive your race numbers.

Code of Conduct: Upon logging into your USAC account to renew/buy your license, you will see a red message flag somewhere on your account home page.
  • Click on this message notification to get to the Code of Conduct form that is required to be electronically signed in order for your license to be issued.
  • Like the online waiver, an “I Agree” statement must be typed into this form.
  • Please don’t inundate the listserv with complaints about having to sign a code of conduct. If you wish to express your displeasure, reply to me (not Reply All) & we’ll group up the notes to send on to the folks at USA Cycling.
USAC license: The default license renewal/purchase is set for a ‘green license,’ that is, no plastic license will be mailed to you.
  • Local WSBA promoters are concerned about the green license and encourage racers to go the old fashioned way and opt to have a printed, physical mailed to you.  There are issues with cell/internet coverage at our remote race locations, and the USAC mobile application doesn’t always cache documents to be accessed in an offline manner.
  • HOWEVER, if you opt for a green license, please get a copy of your electronic license on your mobile device where it can be accessed at events that have no cell/internet coverage.  Confirm that your phone caches your license information in an offline mode. You can also print an Authorization to Ride from your USAC account for those times you need to show your license at events.

Address/Emergency Contact Information: Confirm your address and emergency contact information within your USAC account
  • Incorrect address information within your USAC account may delay your receipt of WSBA race numbers.
  • Consequences of incorrect emergency contact information will be obvious at the worst possible moment

Have a great Holiday season

Hey Everyone,

Thanks for coming out to the annual WSBA meeting yesterday.  There was great discussion and good energy as we plan for next year.  Before introducing next year Board I would like to give a big thanks to the outgoing board members that have contributed so much to the WSBA.  They include,

Eastern Washington Regional Director, Marla Emde.  Marla has been instrumental in growing the sport in Eastern Washington, incorporating Northern Idaho into the WSBA, and being the membership coordinator.  Thank you Marla for everything you’ve done.

Junior Development Director, Trisha Lawrence.  Trisha is the silent ninja that’s been on the board since its inception.  She’s been the treasure for countless years keep things finically in order and has taken the lead on a number of junior initiatives.  We are going to miss her has a board member however it will be wonderful to see her at more races and the Larry Kemp Junior Camp.  Thanks Trisha for everything you’ve done.

Vice President, David James.  David served has the first CX Director and became the VP last year.  He laid the ground work developing WSBA’s Cross in a Box and being the voice of the cross community at our board meetings.  He also led the charge in finding someone to replace him as the CX Director who is doing a great job.  Thanks David for everything you’ve done.

Without further ado the 2015 WSBA Board is;

Officers

Gina Kavesh – President

Ted Chauvin – Vice President

Al Cronin – Treasure

Martha Walsh – Secretary

Just a reminder that the WSBA annual meeting is this Saturday, December 13, at 3:00 pm at the Redmond REI store, 7500 166th Ave NE, Redmond, WA 98052 (Redmond Town Center).

All members are encouraged to attend, and it is important that each team send at least one representative.  Agenda items include election of board members, updates from USA Cycling, BARR awards, and the 2015 road calendar.

There's been lots of discussion about racing, scheduling, and team requirements on Facebook recently; come to the annual meeting and be part of the WSBA.  Make the dialogue "real"!
